DESCRIPTION
The Steubenville South Conference Office serves thousands of teens, youth ministers, and volunteers each year across our region. In addition to the annual Steubenville South High School Youth Conference, the Steubenville South Office also coordinates Beyond the Limits (a Jr. High youth conference), and Rally (an adult ministry training day for youth ministers, parish leaders, and volunteers).
To support this growing mission, we are hiring a part-time Operations & Administrative Assistant to help maintain the systems, communication, and organization that allow these events and resources to serve our community well.
This role is ideal for someone who enjoys building organized systems, keeping projects moving forward, and ensuring important details don’t fall through the cracks.
You will work closely with the Conference Coordinator and leadership team to support the day-to-day operations of the Steubenville South Office and the events coordinated through it.

Many responsibilities can be completed remotely, though some in-person responsibilities and event support are required.

Key Responsibilities
Operations + Systems Management
• Maintain organized digital files, databases, and operational workflows, including the office budget
• Track administrative tasks and project timelines to ensure details are completed accurately and on schedule
• Maintain online forms, registration processes, and digital communication systems for group leaders, attendees, volunteers, priests, and ministry leaders across Steubenville South events
• Monitor inboxes and communication channels, responding to or routing inquiries from group leaders, volunteers, and ministry partners
Project Coordination + Event Preparation
• Coordinate administrative and logistical details that support planning for the Steubenville South Conference, Beyond the Limits Jr. High Conference, and Rally adult ministry training day
• Prepare materials and documentation for meetings and planning processes, and coordinate follow-up tasks.
• Maintain task tracking and project management systems to help keep planning work organized and moving forward
Event Support
• Serve as part of the core operations team during conference weekends and training events.
• Assist with logistical coordination, registration systems, and materials during events
Conference events require team members to be active and engaged throughout the weekend. The ideal candidate should be comfortable being on their feet for extended periods, walking frequently between event spaces, lifting and transporting materials, and assisting with setup and organizational tasks as needed.
Digital Tools + Systems
Much of this role runs through digital systems. Candidates should either have working knowledge of these systems or be comfortable learning new tools quickly. The Conference Office is willing and able to provide training and support for any platforms used in-office.
• Mailchimp (email campaigns, audience management, and newsletters)
• Jotform or similar form-building platforms
• Google Workspace (Drive, Docs, Sheets, shared file systems)
• ClickUp or other project management systems
• Canva or basic visual communication tools
• Stripe or other online payment processing platforms
• Zoom digital meetings and collaboration
• Social media scheduling or digital communications tools
We are looking for someone who takes ownership of their work and finds satisfaction in helping projects move from idea to completion.
Schedule + Location
This is a part-time position (15 hours per week) with a flexible schedule to be determined together.
Workload varies seasonally depending on event preparation throughout the year, with increased hours during major conference preparation seasons.
Applicants should be located in or near the Cenla area to assist with in-person tasks and event support when needed.
