Description
Provide administrative support to the Assistant to the Moderator of the Curia for Canonical Affairs by processing, recording, and maintaining all marriage records, as well as assist Canonical Affairs staff with the regular operations of the office such as letters of suitability and the processing faculties for extern priests, among other duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Establish a working knowledge of canon law regarding marriage.
• Review incoming marriage files for accuracy and completeness, following up with sending clergy/parish staff as needed.
• Collaborate and facilitate marriage processes with dioceses in both the U.S. and international.
• Correspond with, and educate, priests, deacons, pastoral associates and couples concerning obligatory marriage paperwork.
• Create inter-diocesan testimonial letters; create rescripts of permission and dispensation involving non-Catholics; process marriage sanations; process marriage records requests from other dioceses.
• Manage and maintain marriage records.
• Create letters of suitability and celebrets for Archdiocesan priests and deacons traveling outside of the Archdiocese. Advise priests on the various documents available, or if the diocese travelling to has their own requirements.
• Generate statements for non-incardinated priests residing in the Archdiocese to exercise priestly ministry elsewhere.
• Formulate the granting of faculties of priests and deacons residing in/visiting the Archdiocese from other dioceses and religious orders. Help compile an in-house database.
• Assist in counseling international priests on the fundamentals: the granting of faculties, housing arrangements, and other related issues regarding exercising priestly ministry. Explain the intricacies of the Archdiocesan policy to pastors, parish staff, and visiting priests.
• Assist with letters and necessary documentation regarding the Boston seminaries.
• Review written materials generated by the Assistant to the Moderator of the Curia for Canonical Affairs.
• Utilize a database for marriages, as well as perform scanning, and physical filing.
• Must be able to answer Canonical Affairs phones and answer general questions including initial sensitive contact with those requesting deliverance and healing ministry.
• Process invoices.
• Other duties as may be assigned.
QUALIFICATIONS:
• Knowledge of Catholic teaching on marriage and canon law preferred.
• BS/BA degree preferred, with 2 or more years of administrative experience.
• Proficiency in Microsoft Outlook, Word, and Excel required.
• Excellent oral and written English communication skills, including a clear speaking voice.
• Spanish/Portuguese-language oral communication skills also preferred but not essential.
• Attention to detail and customer service skills required, including ability to maintain professionalism both in person and by phone.
• Must be supportive of the mission and tenets of the Roman Catholic Church.
• Well organized, able to multi-task and effectively work in a busy, changing environment.
• Able to handle confidential and timely matters requiring good judgment, tact, respect, and discretion.
• Ability to communicate effectively through e-mail and/or telephone.
• Strong service orientation.
PHYSICAL PERFORMANCE ELEMENTS:
• Ability to use a computer keyboard for up to 8 hours/day.
• Ability to sit for up to 8 hours/day.
