Operations Assistant

DESCRIPTION

The Operations Assistant’s primary duty is to provide sighted one-to-one support for the Evangelization Consultant for Black Catholics who is visually impaired. Such assistance would focus on performing tasks that would enable the employee to complete duties the position entails including accompaniment and detailed note-taking at meetings (sometimes during evenings/weekends). Secondarily, the Operations Assistant would perform some basic tasks for the Director. The position is part-time (18 hours/week).

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Support team member who is visually impaired during meetings, introductions, networking, note taking, and similar circumstances.
  • Assist with elements of everyday tasks within the office such as using the photocopier, filing and filling out forms, and preparing materials for meetings.
  • Format and review documents to ensure that they appear professional.
  • Assist in creating slides for presentations and ensuring that they are well formatted.
  • Assist with performing research on-line and in-person.
  • Reading mail and other materials that are not accessible.
  • Serve as a first point of contact for internal and external individuals.
  • Answer inbound telephone calls in a knowledgeable and professional manner.
  • Coordinate meetings, events, training sessions, and projects.
  • Review and summarize files, emails, and other documents often on complex and highly confidential matters including at sensitive meetings that the Evangelization Consultant is required to attend.
  • Anticipate office needs in all administrative areas and follow through on initiatives with little direct supervision.
  • Facilitate processes in place for all budget tasks (i.e. submission of reimbursement requests, invoices, deposits, etc) in an efficient manner.
  • Interact in a positive and professional manner with staff and visitors at the Pastoral Center.
  • Other duties may be assigned.

QUALIFICATIONS

  • A Catholic in good standing who understands and supports the mission of the Church and of the Archdiocese of Boston.
  • A willingness to be a leader in the evangelization efforts of the Church, including being a witness to one’s own relationship with Christ.
  • A Bachelor’s degree is preferred.
  • Experience working in a Catholic entity as well as knowledge of the Catholic faith and the Church’s mission evangelization and discipleship.
  • At least two years of experience in office management/administration.
  • Strong oral and written communication skills.
  • Experience working with the public and handling issues and complaints in a diplomatic manner.
  • Ability to be detail-oriented and to work independently.
  • Flexibility in work hours which include evenings and weekends when necessary.
  • A positive and upbeat attitude and demeanor.
  • Proficiency with Microsoft Office Suite (and/or equivalent) software, knowledge and experience in web development/management and/or technology, and catechesis a plus.
  • Demonstrated ability to handle confidential, time-sensitive and critical matters using good judgment, tact, respect, and discretion.
  • Ability to anticipate needs, establish priorities, maintain confidentiality, demonstrate discretion, project a positive attitude, and exercise a high level of professionalism.
  • Strong skills in organizing, multi-tasking, and following through in a busy and changing environment with little direct supervision.
  • Excellent relationship-building skills with a focus on service to others; a high level of energy, creativity and humor; and ability to establish trust and work collaboratively.
  • Ability to communicate effectively through e-mail and/or telephone.

PHYSICAL PERFORMANCE ELEMENTS:

  • Position requires the ability to sit, operate a keyboard, speak, lift up to 20 pounds, bend, stoop, and reach.
  • Ability to use a computer keyboard for up to 8 hours/day.
  • Ability to sit for up to 8 hours/day.
