Office Administrator
Vagabond Missions is seeking an organized and professional office administrator for its
Pittsburgh executive office. This position will serve within the Finance and
Development departments by providing administrative support to ensure a strong
behind-the-scenes foundation for Vagabond Missions to grow its work with inner-city
teenagers. The position will be full-time, onsite at Vagabond Mission’s Pittsburgh
executive offices (5 days a week, 40 hour work week)

Responsibilities:
Office Management
● Gather mail from P.O. Box regularly and disseminate appropriately and timely
● Work closely with the Director of Finance to develop and maintain office
accountability measures in relation to mail, bank deposits, and all other
office-related needs
● Provide general support to visitors and be the first point of contact for phone
calls, emails, and general inquiries
● Help oversee the assignment and completion of office cleaning.
● Assist in Executive and Board Meetings by taking minutes
● Schedule and distribute Board and Committee meeting logistics and materials.
● Responsible for filing and maintaining office documents.
● Maintain office supplies and marketing materials inventory; including tracking
and notifying appropriate staff when items are becoming low, broken or have
gone missing.
● Assist the President as needed with planning, travel, and schedule management
as needed.
Other Clerical Duties
● Assist with processing donations, addressing failed donations, and processing
physical checks.
● Assist with bookkeeping of donations
● Ensure donors are acknowledged and recognized to strengthen their financial
support for the Ministry
● Act as a liaison to executives in order to provide cultivation and stewardship
assistance to individual donors and prospects
● Assist with programs and projects to thank and steward donors
● Manage CRM Software and ensure all donations are recorded and recognized
appropriately.
● Partner with the Executive Team to update and maintain office policies as
necessary
● Ensure special events are communicated and on the calendar of appropriate
officials and targeted guests
Salary, Benefits, etc.:
● Work a 40 hour work week, 9am – 5pm.
● Starting salary is $30,000-35,000.
