DESCRIPTION
Position Summary:
Oversee registration and related functions for all Life Teen Events and and Life Teen Steubenville Conferences. Deliver excellent customer service by responding to event inquiries and assisting group leaders and participants throughout the registration process.
Essential Ministry Functions / Responsibilities:
Create registration pages in Cvent for all Life Teen conferences, training and events.
Manage all aspects of registration including payments, participants paperwork, safe environment and Letters of Good Standing
– Maintain accurate registration records, overseeing all stages of group and individual registration processes.
– Answer high volume of phone calls and emails in a customer service and mission-oriented fashion.
Return all guest inquiries within a two business day time period.
Build and foster existing relationships with group leaders.
– Take credit card payments and event registrations over the phone.
– Work with the Finance Team to ensure all payment records are accurate and up-to-date, especially prior to event start dates.
– Update databases post-event and follow up on any on-site registration situations after the event has occurred.
– Provide post-event data for financial reconciliation.
– Provide weekly registration reports.
– Ensure all paperwork, guest information, and registration fees are accurate and collected prior to deadlines.
– Confidently enforce payment policies and safe environment procedures.
Collect, select and process scholarships for participants prior to events.
– Initiate calls as needed to meet expectations and deadlines. Create and send confirmations and reminders to participants.
– Provide pre-event information to Events Manager and Events Director such as food allergies and housing assignments.
– Provide registration information including registration lists, name tags, and other pertinent items in a timely manner for smooth on- site event check-in.
– Participate in weekly staff Holy Hours, office Masses, and biennial staff retreat.
Success Factors
– Proficiency in Microsoft Office Suite, particularly Microsoft Excel.
– Proficiency in or ability to quickly learn Cvent and/or other platforms
– Strong interpersonal, verbal, and written communication skills.
– Ability to communicate clearly, consistently, and respectfully to provide exceptional customer service.
– Organized and detail-oriented with a heart for taking care of others
– Self- motivated with ability to take initiative, problem solve and multi task
– Comfortability and confidence in enforcing policies and paperwork requirements
– Well developed sense of work flow, time management and prioritization of projects
